Information collected
Forms collect customer type, company, contact name, country, email and WhatsApp, plus applicable fields for tax identification, products, quantities, message, purchasing volume, represented brands and import licence status. WhatsApp is stored in international format and as entered. Do not send patient information or health data.
Inquiries include form type, language, page, referral, campaign parameters, SKU, country indicated by the Cloudflare network, receipt time, policy version and consent records. Times and the policy version reported by the browser are stored separately from server records. The original IP address is not stored in the inquiry table.
Purposes and grounds
Data is used to assess and answer inquiries, prepare quotations and follow up on a possible business relationship. Grounds include requested pre-contractual steps or legitimate interests where applicable.
The form records separate, optional marketing consent that can be withdrawn. Declining marketing does not prevent inquiry submission. The service does not send automatic email replies.
Storage and follow-up
Inquiries are stored in Cloudflare D1 under the 7-day rule and exceptions described in Retention and deletion. The system records synchronization steps, results and error codes. Contact and inquiry data is sent to customer and inquiry tables in Feishu Bitable for follow-up.
When internal notifications are enabled, a Feishu group receives a summary with the inquiry identifier, customer type, country, company, products and quantity. When retry attempts are exhausted, an alert group receives the identifier, step and error code.
Abuse prevention
To prevent abuse in inquiry submissions and CSP violation reports, the IP address is hashed using HMAC-SHA-256 and a protective secret; the first 32 hexadecimal characters and the time are stored in the D1 rate log, not the original IP. The rate window is 10 minutes. The retry task is configured to run every 5 minutes and, when it runs, removes rate records older than 24 hours.
The Cloudflare Turnstile component loads from challenges.cloudflare.com. Server verification sends the verification token, IP address and submission identifier to Cloudflare. The 24-hour cleanup applies only to the local rate log, not to provider records. Inquiries follow the separate 7-day rule and exceptions described under Retention and deletion.
Retention and deletion
Only inquiries already synchronized to Feishu in the website database (Cloudflare D1) and their synchronization records are automatically deleted in batches by the periodic task once more than 7 days have passed since receipt. Unsynchronized inquiries, including those whose retries have stopped after a failure, are retained until processing is complete. Copies synchronized to the company’s internal Feishu Bitable are kept by the company as customer records; this automatic cleanup does not delete them. You can request deletion by emailing [email protected].
Your choices and rights
Depending on applicable law, you may request access, correction, deletion, restriction, portability or object to processing. To exercise rights, withdraw marketing consent or ask about sharing, contact [email protected] with your request and a way to reply. Do not send identity documents without instructions about an appropriate channel.
Providers and international transfers
Cloudflare: hosting through Pages and Functions, inquiry storage in D1 and human verification with Turnstile on its global infrastructure. Feishu: inquiry management and follow-up in China.
Processing involves the Cloudflare global network and international transfers to Feishu in China. This policy does not specify a single processing location within the global network.
